Business Planning

Forecasting, Budgets and Strategic Planning:
  • Prepare an initial long term (5-years) and annual budget model for circulation planning, revenue and expenses, including additional scenarios to evaluate circulation profitability options.
  • Update and maintain circulation model for targeted circulation level, production, revenue and expense tracking versus budget.
  • Recommend strategic direction including source mix, testing and pricing.
  • We will provide general industry and category-specific information (base-line comparisons) as available through our participation in industry functions and through our role as a multi-title circulation service company.
Circulation Marketing

New Media:
  • Internet marketing strategy, execution and analysis of results for all efforts to maximize subscriptions volume and profitability from the in-house web sites as well as outside sources.
  • Review and recommend marketing design and layout features to banner ads and subscription order pages to maximize click-through’s and responses.
  • Email promotions planning and execution for new, renewal and gift subscriptions.
  • Social networks marketing – Facebook, Twitter, LinkedIn, MySpace, etc.
Insert Cards and Space Ads:
  • Determine base offer and creative strategy.
  • Manage creative design.
  • Plan and execute testing of offers, design and mix.
  • Coordinate mix (bind-ins vs. blow-ins) and coding.
  • Handle entire print production process.
  • Prepare analysis and reporting.
Gift Subscriptions:
  • Develop and execute mail and internet campaigns to generate new gift subscriptions.
  • Renew past year’s donors, manage the production, fulfillment and analysis.
Alternate New Business Promotions: 
  • Develop alternate subscriptions sources, including:
    • package inserts programs
    • partnerships
    • magazine onserts and cover-wraps
Direct Mail (strategy & execution):
  • Plan and execute up to four mailings per calendar year.
  • Based on goals set by management, develop a mail plan, including estimated gross and paid orders, costs and revenues.
  • Recommend and execute testing of packages, offers, and lists.
  • For new or revised packages suggested and approved, bid out and manage copywriter and artist to develop mailing package and possible test packages.
  • Supervise package design development and work with management to insure that tone and message are appropriate.
  • Print production – bid out, order and track delivery of all materials for the campaign(s).
  • Lists planning – work with list broker to select and track all lists through data processing.
  • Issue merge/purge processing instructions.
  • Coordinate lettershop instructions, including tracking material delivery and working with your office to secure postage deposits.
  • Analyze results for response and profitability and recommend next steps.
  • Review and approve all invoices before sending to client for payment.
Agencies:
  • Evaluate and recommend only the most desirable and reputable agents that best fit our target audience and long term strategic goals.
  • Authorize subscription agents (individual, partnership, verified, and sponsored programs as appropriate) for inclusion in their various promotions, including negotiating the terms of sale, providing the initial approvals, pricing and promotional materials.
  • Coordinate agency authorizations with fulfillment on all matters related to the specific terms of pricing and remit rates.
Public Place Distribution:
  • Recommend a distribution plan and manage the public place agency based on target demographics for selection of specific areas and locations. Possible suggestions include, but are not limited to:
    • Doctors waiting rooms (selectable by specialty)
    • Health salons & spas
    • Hair salons and/or barber shops
    • Fitness clubs and centers
    • Hotel rooms
    • Yacht Clubs
Controlled Circulation:
  • Coordinate and execute qualification efforts to prospect lists, event attendees, and requalification of existing subscribers. These efforts may include mailings, attached efforts, and e-mail blasts.
  • Schedule these efforts so that the timing, messages, offers and packages maximize response and are as cost effective as possible.
  • Investigate, recommend and execute the testing or changing of the above efforts’ messages, offers, timing, number of efforts and possible new requalification sources where testing is appropriate.
  • Monitor qualification response/costs to identify trends and pinpoint strengths and weaknesses by effort to maximize effectiveness of each component of the series.
Operations

Renewals & Billing efforts:
  • Evaluate current renewal and billing series by source and effort to determine effectiveness and efficiency to the P&L per sub level.
  • Work with fulfillment division to schedule mailings and ensure that timing, messages, offers and packages are as effective as possible.
  • Investigate, recommend and execute the testing or changing of packages, messages, offers, timing, number of efforts and possible new renewal sources where testing is appropriate.
  • Monitor renewal and billing response/profitability to identify new trends, and pinpoint strengths and weaknesses by effort to maximize effectiveness of series.
  • Monitor inventory of stock components and project future volumes for purchasing purposes.
  • Be primary liaison with the fulfillment division in all renewals and billing matters.
Fulfillment Management:
  • Create all necessary parameters for the subscriber file including source definitions and policies.
  • Set up operations including:
    • Selection policies for each issue’s label files and set annual schedule based on the publication’s production schedule.
    • If necessary, create billing series (using outside freelancers) and set up procedure to accept credit card payments.
    • Schedules for billing and renewals selections.
    • Customer Service policies.
  • Review available data for reporting purposes.
  • Periodically review customer service policies and monitor correspondence and subscriber inquiries.
  • Update weekly and monthly fulfillment schedules including label runs, billing and renewal mailings, end of month dates for financial reports.
  • Manage activities of fulfillment operation acting as primary liaison for all fulfillment functions as they relate to the various subscription promotions.
Newsstand Distribution Management:
  • Negotiate national distributor contracts.
  • Manage draw allocations with wholesalers and national distributor.
  • Execute and monitor promotional options and opportunities.
  • Analyze sales performance and generate reports.
Print Orders:
  • Based on data received from the fulfillment operation, newsstand distributors and other appropriate departments, we will prepare the print orders for review and approval by the Publisher.
  • Distribute the print orders to the bindery with specific circulation instructions such as coding and placement of subscription insert cards, shipments to promotional events, etc.
Postal Requirements & Audits:
  • As soon as the magazine’s circulation qualifies, we will apply for the USPS Periodicals postage permit for reduced mailing costs and expedited delivery.
  • Compile and file the Statement of Ownership annually, as required by the USPS for Periodicals class postal qualification.
Circulation Audits:
  • When appropriate, or when the magazine reaches a target circulation level, apply for membership to an auditing organization such as ABC or BPA.
  • Manage the initial audit process.
  • Prepare, review and file all subsequent semi-annual Publisher Statements.
  • Supervise yearly audits for accuracy and compliance.

Product Fulfillment:

  • Warehousing in a climate controlled, fully secured and insured facility.
  • Online inventory control, order history, reorder and projection assistance, with 24/7 data access.
  • Orders received electronically from our clients' websites shopping carts are packed and shipped within 24 hours.
